Why do I need Insurance?

According to a report that was compiled by the Technology department in June of 2023 the average fine for a Digital Device in UCSD is $81.58. Two of these incidents would be based on this average $163.16. Therefore, if insurance is purchased at the $25 rate the student would save approximately $138.16 for the two incidents. We also see this average fine at all levels, Elementary, Middle and High have approximately the same average fees per incident. So, we would highly recommend insurance to all of our student families. One of the most popular device repair organizations is now charging $15/month for similar coverage and a $50 fee per incident to have something repaired. Our insurance is much more affordable than that.

Insurance Information

Laptop insurance is still $25 between August 1 and Oct 1. Insurance covers all accidental damage to the laptop device. It does not cover loss of a device or charger. Insurance only covers damages that are deemed accidental in nature. Other damages such as intentional damage (for example removing multiple keys, writing on the laptop, etc) would not be covered (see fee listing). Accidental vs intentional determination is left to the Technology Department in cooperation with the location. Insurance purchased on Oct 2-Jan 1 will be $50 and increases again on Jan 2 to $100 until March 1 when insurance can no longer be purchased for the current year. Insurance payments are also non-refundable unless the student has no fees/fines AND it is within 5 days of when the payment was made. Insurance purchased only remains active until August 1 of the school calendar year following the school year in which the insurance was purchased. Insurnace purchase between June 1 and August 1 (summer) will only cover damages for June 1 until the end of the upcoming school year. Insurance does not cover existing damages only damages that have occurred during the school year in which the insurance was purchased.

**New as of August 2023 we will be limiting the number of incidents that insurance covers to 2 per insurance coverage year per student (not device.) After the initial 2, insurance will become void for the remainder of the school year and damages that take place will be charged based on the current fee schedule. This applies to the entire 2023-2024 school year.

**Due to rising technology costs insurance will increase from $25 to $35 in the 2024-2025 school year. The total cost of a device will also increase from $250 to $300. This will not take effect until the 2024-2025 school year. The 2023-2024 school year the prices will remain the same only the coverage will change.

**An incident is defined as a damage to one particular part of the laptop. For instance, if a laptop is returned with a cracked screen and numerous missing keys this would be considered 2 (two) separate incidents. If insurance has been purchased and no incidents have occurred for the school year no fee will be charged to the student but the student's insurance incidents would be used up and each incident after that would be a charge based on the fees on this page. However, if two keys are missing from the same keyboard then that would be considered 1 (one) incident since it involves the same part to be replaced. Unused incidents also do NOT roll over from year to year. The only exception to this would be if one occurrence caused multiple incidents. For instance, in the case of a car wreck, a drop etc we may bundle these incidents into one insurance incident to assist the student and guardians.

Fee Schedule for Digital Student Devices

  • Broken/cracked screen - $100 (covered by insurance)

  • Broken or Missing keyboard keys - $100 (covered by insurance - unless deemed intentional)

  • Hinge damage - $50 (covered by insurance)

  • Missing hinge cover - $25 (covered by insurance)

  • Case damage (intentional) $50 (not covered by insurance)

  • Missing inventory stickers on front or back of device - $10 (not covered by insurance)

  • Writing on laptop case or screen or laptop itself. Also stickers that cannot easily be removed and leave permanent residue - $100 (not covered by insurance)

  • Damaged or broken ports - $50 (covered by insurance)

  • Power adapter/charger Issues (Cord undamaged and returned) - $35 (covered by insurance)

  • Charger damaged and/or not returned or wrong charger returned (non-Dell) - $35 (not covered by insurance)

  • Re-imaging due to violation of acceptable use policy - $15 (i.e. loading Malware due to installing a streaming game applications) – this is not covered by insurance

  • All other issues/damages that would cause the device to be deemed non-repairable – not to exceed $250. Some of these would include adding a password that makes the system non-accessible/usable or any other action that would make the device unusable.

  • Non-Returned/damaged HotSpot $100 (no insurance available)

  • HotSpot Charger missing/damaged $15 (no insurance available)

**In the case of a lost device or damages due to negligence, the parent may be responsible for the replacement cost of the device not to exceed $250. Also, any warranty work that is due to manufacturer default will be done at no charge and would not fall under this agreement. These prices are subject to change based on item availability and repair costs.

**Covered by insurance means that if insurance is purchased and this particular damage occurs to the device there will be no charge for this incident.

**Due to increases in costs related to technology UCSD reserves the right to modify this fee schedule once per year during the months of June and July. Please check back regularly for updates. We will take special care to point out changed items.

Fire and Theft of Student Devices

Fire and Theft work the same way.  As long as it is 30 days from the incident (fire or theft) then we need a copy of the Police/Fire report for our documentation.   We will not accept over 2 devices that are reported as stolen from the same student.  The third will be a full charge, unless there are special circumstances.  Also, the District reserves the right to determine that the device was actually missing and assign an Incident date of the last day that the device was logged into.  If we find that the device has not been logged into over 30 days ago the student may be charged full replacement fees.  Days students are not actively in school such as summer etc. may be considered an exception. 

Other Important Insurance Information

In the 2022-2023 insurance participation was only 29.42% of the total enrollment and insurance is just a method we utilize to make it easier on our student's families. If you asked us how we spend the insurance money we receive from insurance payment the answer would be simply we put it back into our students. We use it to repair devices and to put in safeguards to protect our students online. However currently insurance payments only provide a portion of the monies that we have to pay to have the devices repaired. Our goal is to let our students and families know about insurance, the benefits of insurance and to increase our participation rate.
